Terms of Service

1. Acceptance of Terms

By accessing or using Ronin Academy Platform ("the Platform", "Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Platform. These Terms form a legally binding agreement between you and Ronin Academy.

If you are registering on behalf of an organisation (academy/team), you represent that you have authority to bind that organisation to these Terms.

2. Description of Service

Ronin Academy Platform is a multi-tenant SaaS application for Brazilian Jiu-Jitsu academies providing:

• Class scheduling and attendance tracking
• Student progress and belt/degree tracking
• Sparring log management and combat statistics
• Team, unit and student roster management
• Techniques library and skill development tracking
• Missions, XP gamification and leaderboards
• Certificates and graduation reviews
• Team feed and social features
• Contacts and athlete identification
• Pro subscription features via PayPal

3. User Accounts

You must register with a valid email address and a strong password. You are responsible for:

• Maintaining the confidentiality of your login credentials
• All activity that occurs under your account
• Notifying us immediately of any unauthorised use at privacy@roninacademy.app
• Providing accurate and truthful profile information

You must be at least 16 years old to create an account independently. Minors under 16 require parental or guardian consent. We reserve the right to terminate accounts that provide false information.

4. User Roles & Permissions

The Platform has different user roles with different access levels:

• Normal / Student – Can view and manage their own data, join a team, log training.
• Coach – Can manage class sessions, view student progress within their unit.
• Manager – Can manage the full team roster, create units, assign roles.
• Admin / Developer – Platform-level access for maintenance and support.

Coaches and managers are responsible for complying with applicable data protection laws when handling student data through the platform.

5. Subscription & Payments

5.1 Free Plan

The basic plan is available free of charge with limited features. Ronin Academy reserves the right to modify what is included in the free plan with reasonable notice.

5.2 Pro Plan

Pro features require a paid subscription via PayPal. By subscribing you agree to:

• PayPal's own Terms of Service and billing policies
• Recurring charges at the published subscription rate
• The subscription being valid for the team, not individual users

5.3 Cancellation & Refunds

You may cancel your subscription at any time through PayPal. Cancellation takes effect at the end of the current billing period. We consider refund requests on a case-by-case basis for documented technical failures. Contact support@roninacademy.app.

5.4 Price Changes

We will provide at least 30 days' notice before changing subscription prices.

6. Acceptable Use Policy

You agree NOT to:

• Use the Platform for any unlawful purpose or in violation of any applicable laws
• Upload false, misleading or fraudulent training data
• Harass, threaten, or harm other users
• Attempt to access other users' accounts or data without authorisation
• Reverse-engineer, decompile or attempt to extract the Platform's source code
• Use automated bots or scripts to scrape data, spam or overload the Platform
• Upload malware, viruses or any malicious code
• Share your login credentials or allow others to use your account
• Post inappropriate, offensive or illegal content in the feed or profile fields
• Circumvent any security or access control measures

Violation of this policy may result in immediate account suspension or termination without refund.

7. User Content

You retain ownership of content you upload (profile photos, feed posts, technique videos, notes). By uploading content, you grant Ronin Academy a non-exclusive, royalty-free licence to store and display it solely for the purposes of operating the Platform.

You are solely responsible for content you post. You must not upload content that:

• Infringes any third party's intellectual property rights
• Contains personal data of others without their consent
• Is offensive, hateful, discriminatory or promotes violence
• Violates any applicable law or regulation

8. Intellectual Property

All Platform code, design, branding, logos, text and features are the intellectual property of Ronin Academy or its licensors. You are granted a limited, non-exclusive, non-transferable licence to use the Platform for its intended purpose. You may not copy, modify or distribute any part of the Platform without our prior written permission.

9. Privacy

Your use of the Platform is governed by our Privacy Policy, which is incorporated into these Terms. By using the Platform you consent to the data practices described therein.

10. Service Availability & Disclaimers

We aim for high availability but do not guarantee uninterrupted access. The Platform is provided "as is" without warranties of any kind, express or implied, including fitness for a particular purpose. We are not liable for any loss of data due to events outside our reasonable control (e.g. Firebase outages, force majeure, internet failures).

The platform tracks training data for informational and motivational purposes only. It is not a substitute for professional sports coaching, medical or safety advice.

11. Limitation of Liability

To the maximum extent permitted by applicable law, Ronin Academy shall not be liable for:

• Indirect, incidental, special or consequential damages
• Loss of profits, data, goodwill or business opportunity
• Damages arising from reliance on Platform data for real-world decisions

Our total liability for any claim shall not exceed the amount you paid to us in the 12 months preceding the claim, or €50 (whichever is greater).

Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by law.

12. Termination

You may delete your account at any time by contacting support@roninacademy.app. We reserve the right to suspend or terminate accounts that violate these Terms, without prior notice. Upon termination, your data will be deleted within 30 days (subject to legal retention requirements).

13. Governing Law & Disputes

These Terms are governed by the laws of Portugal. Any disputes shall be subject to the exclusive jurisdiction of the courts of Portugal. If you are a consumer in the EU, you may also use the EU Online Dispute Resolution platform at ec.europa.eu/consumers/odr.

14. Changes to These Terms

We may update these Terms. For material changes, we will provide at least 14 days' notice via email or in-app notification. Continued use after that period constitutes acceptance of the revised Terms.
